Major/Essential Duties of Job: Responsible for monographic acquisitions management, including: ordering, receiving and paying for monographs in local library system (Voyager) and pre-processing invoices for university fiscal system. Places orders, receives materials, enters payment information in Voyager, processes claims and returns, and performs bookkeeping functions for monographic acquisitions. Supervise 1 student worker. Order and receive monographic and continuation orders including checking requested items for duplication in local system (Voyager), verifying order information and availability through databases, publisher websites, etc. Decides appropriate vendor for each request, according to procedures in conjunction with supervisor. Creates order records in Voyager and submits orders. Receives items and organizes then for routing to cataloging staff. Process payment for monographic and continuation orders including preparing invoices for payment in Voyager and submitting originals to designated FAMIS creator. Verifies and submits changes for vendors, as necessary, to FAMIS creator. Resolves payment problems with vendors. Keeps track of fund account activity throughout year, coordinating with supervisor. Produces reports as directed for librarians and other library personnel. Supervises student worker in searching databases, order entry, claim response and unpacking orders. Other duties as required.
Occasional Duties: Claiming and returning: Claims items on outstanding orders. Updates records concerning responses to claims. Process cancellations in Voyager and forwards to FAMIS creator for input. Returns items sent in error (duplicates, wrong title, etc.) or damaged. Assists with cataloging materials.
Required Education and Experience: High school graduation or any equivalent combination of training and experience and 4 years library experience OR 2 years as a Library Specialist II. Thirty or more hours of higher education credits may substitute for a year of library experience. A baccalaureate or higher degree in Library Science may substitute for four years of library experience. Requires the ability to work cooperatively with others.
Preferred Education and Experience: Keyboarding (35 wpm+). Proficient in using Windows XP. Ability to handle detailed work. Knowledge of Library operations, competent spelling, good communications skills with vendors, co-workers.
